SharePoint Portal Server for Not Yet Techies

"Computer Careers: Using This Microsoft Tool to Increase Employee Communication and Manage Net Content"

by Richard Stooker, President Info Ring Press and author of Secrets of Changing to a Computer Career

SharePoint Portal Server from Microsoft creates Web portals with integrated document management services and search capabilities. With SharePoint Portal Server you can increase employee productivity by allowing them to share information more easily on an intranet or extranet.

With a Web portal and SharePoint Portal Server you can aggregate information from different sources into one place where every employee can find it. You can also share information across file servers, databases, public folders, Internet sites, and SharePoint Team Services-based Web sites.

SharePoint Portal Server is integrated with Microsoft Office®, Explorer and Microsoft Windows®, so using it is intuitive and easy for employees.

SharePoint Portal Server uses these Microsoft technologies:

  • The Portal Framework
  • Office
  • Microsoft Internet Explorer
  • The Microsoft Exchange Store
  • Microsoft Search Service

When used with Office XP, SharePoint Portal Server has enterprise-wide search, document management capabilities and easy portal customization.

The client components of SharePoint Portal Server enable document management functions within Office XP. It uses standard Internet Protocols (IP) to communicate with the applications.

SharePoint Portal Server automatically creates a portal site that offers a centralized access point so users can find and manage information. It also provides access to information stored inside and outside an organization, allowing users to share documents regardless of their location or format. You can also customize the home page of the portal site to display organizational news or other important information.

The document management services in SharePoint Portal Server consist of both a store and services that facilitate document management functions. This includes check-in, check-out and document versioning.

SharePoint Portal Server uses the Microsoft Search Service, which has four main components:

  1. Crawl the collected content of a set of URLs for inclusion in an index
  2. Parse or filter the document to extract the relevant metadata and content
  3. Include the data retrieved in an index
  4. Perform searches for content

You can use SharePoint Portal Server to search content stored on its file servers, database servers and a competitor's Web site.
